A full inbox can hide unfinished work. Some people are comparing prices, some need a quotation and others already paid. Treating them as one number makes follow-up difficult and reporting misleading. This guide focuses on what happens after an enquiry arrives, rather than how to create the advertisement that brought it.

Define a suitable enquiry in plain language

Agree what makes a conversation relevant: the requested service exists, the location is served and the timing is workable. Ask only the details needed to decide the next step. A suitable enquiry is not a completed sale, and someone outside the service area is not a bad person. Record the reason a request cannot proceed so the offer or targeting can be reviewed responsibly.

Give every open conversation an owner and a stage

WhatsApp Business describes tools for organizing conversations and preparing reusable replies. Choose a small set of stages that reflects your actual work, then identify who handles each unfinished request. Our recommended record is simple: date, requested service, stage, responsible person and next action. Store customer information carefully and avoid adding sensitive details that are unnecessary for fulfilling the request.

Follow up with permission and useful information

Ask whether the customer wants a reminder and when it would help. A follow-up should answer an outstanding question or confirm an agreed deadline. Repeating an advertisement is not a substitute for answering the customer’s concern. If there is no interest, respect that decision. Keep support requests separate from sales follow-up so an existing customer’s problem is not lost among new enquiries.

A hypothetical example: quotation pending is not a sale

A hypothetical printing business receives a request for branded shirts. The customer has not confirmed quantities, so the stage is “information needed.” After quantities arrive, the stage becomes “quotation sent.” Only verified agreement and the business’s actual order process can move it further. At review time, count enquiries, suitable requests, quotations and confirmed orders separately. Then choose the largest avoidable delay and fix that step before buying more traffic.
