A finished design folder is not a complete campaign handover. The business also needs to know what is running, who can access it and which obligations remain. Meta Blueprint’s portfolio course covers accounts, permissions and two-factor authentication. The checklist below is our original operational recommendation for closing or transferring a project. It does not replace the contract or assume that every asset can be transferred between accounts.
Build a register of accounts and assets
List the relevant Page, Instagram account, ad account, website, domain, analytics property and content folders. Record identifiers, business contacts, current access and any unresolved ownership question. Ask the authorised business representative to verify access directly rather than relying on a screenshot from the outgoing supplier. Keep recovery information in the business’s approved secure process. Never place passwords, backup codes or customer records into a broadly shared handover document. Flag an ownership dispute instead of attempting an unverified transfer.
Agree what happens to live activity and charges
Identify active campaigns, scheduled posts, open enquiries and unfinished approvals. Decide in writing whether each item continues, pauses or moves to a named colleague. Separate supplier invoices from platform advertising charges and note who will reconcile the final records. Check renewal responsibilities for tools and the domain. Do not remove a payment method or stop a campaign blindly while customers or another approved team still depend on it. Agree an exact transition time and an escalation contact.
Deliver usable files and useful context
Match the file delivery to the agreed scope: approved exports, editable files where included, copy, licences and a content status list. Label drafts and obsolete prices so they are not republished accidentally. Add the campaign purpose, measurement definitions, decisions already tested and known limitations. Customer data should follow the agreed retention and access rules, not an indiscriminate folder copy. Ask the receiving colleague to open representative files and locate the latest approved version before signing off.
Verify continuity before removing old access
Test the receiving person’s ability to perform the agreed tasks using their own authorised identity. Review roles and connected tools, then remove access that is no longer required through the relevant service’s supported controls. Preserve a record of who approved the change and what remains unresolved. For a hypothetical restaurant campaign, a successful handover includes someone able to update opening hours and answer pending enquiries. Schedule a short follow-up review rather than declaring completion simply because a folder link was sent.
